ABOUT THE ROLE
We are seeking an experienced and highly organised Tour Operations Manager to oversee the execution of Untitled Group's diverse portfolio of tours and events. This role ensures the seamless operation of tours and events including coordinating tour logistics, and tour itineraries and collaborating with production teams to create exceptional experiences for artists and audiences alike. The ideal candidate will have prior experience coordinating large-scale tours and/or events, including budget management and contract negotiations, and will have worked closely with production teams, promoters, venues and vendors in the music or entertainment industry.

HERE’S WHERE YOU’LL BE SPENDING YOUR TIME
- Being responsible for proactively identifying opportunities to maximise tour profit, daily inventory management, analysing and reporting tour sales, and ticket distribution.
- Creating routing, budgets and offer notes alongside promoters for potential tours
- Acting as the project manager for individual tours alongside the promoters, and providing general assistance in key day-to-day matters.
- Approving the review of artist contracts, executing appropriate amendments where standard and liaising with Legal as required to confirm mutually agreed artist contracts between Promoter and agent.
- Working with promoters to develop initial tour pricing, booking on-sale plan, confirming production, building events, managing on-sale period, reporting, overseeing event day/night, post event settlement.
- Working with the Tour Accountant to provide assistance in maintaining individual tour folders, ensuring a compliant system that includes all relevant contracts and agreements for auditing purposes.
- Ensuring that tour confirmations and itineraries are completed and circulated in a timely manner in order to ensure key information is provided to relevant departments.
- Partnering with marketing, operations, ticketing, and finance teams to support the planning, development, and seamless execution of on-sales, shows, and events.
- Coordinating with artists, management, venues, and agents to advance tours- planning itineraries, scheduling, travel, accommodation, and transport- while ensuring budget adherence and cost efficiency.
WHAT YOU BRING
- 3 to 5 years of experience in tour operations, tour or event management, or a similar role in the music or entertainment industry.
- Strong knowledge of the Australian and international music landscape.
- Strong proficiency in Microsoft Office (Excel, Word). Google Suite (Docs, Sheets, Calendar) and experience with project management platforms (e.g., Asana, Monday.com); experience with Adobe Acrobat and other pdf platforms; experience with contract management systems is a plus.
- Strong attention to detail, good organisational skills, and a willingness to approach event coordination and problem-solving with a proactive mindset.
- Genuine interest in administration and process, and enjoy keeping systems efficient and streamlined.
- Ability to build and maintain strong, respectful relationships with artists, promoters, production teams, and other stakeholders to ensure alignment, trust, and smooth delivery of tours and events.
- Experience managing operational requirements including budgets, contracts and permits to ensure tours and events are delivered on time, within scope and complies with legal obligations.
- Experience building budgets, routing tours, and preparing offer notes with accuracy and attention to detail.
