We are seeking a highly organised and enthusiastic Programming Admin Assistant to support the Programming team across multiple events and venues. This role involves managing artist contracts, assisting with event advancement, and coordinating logistics for various performances and activations. The ideal candidate is detail-oriented, highly organised, and capable of handling multiple tasks in a fast-paced environment.

HERE’S WHERE YOU’LL BE SPENDING YOUR TIME
- Assist with day-to-day administrative tasks, including drafting and tracking artist contracts, communicating with artists, and supporting event logistics and advancement.
- Help prepare and issue contracts for artists, venues, and partners, ensuring they are accurate and comply with event agreements.
- Support contract and document management by working with key stakeholders (e.g., Artist Management, Production, and Marketing) to ensure requirements are met and deadlines are followed.
- Assist in coordinating logistics for event-related expenses, including artist travel, production costs, and vendor payments.
- Help generate event and artist documentation, such as rider forms, technical requirements, and performance schedules, ensuring all necessary information is collected and shared with relevant teams.
- Provide support in tracking event progress, including timelines and budgets, and assist in identifying discrepancies or potential issues.
- Support the improvement of administrative processes by helping to implement more efficient systems and tools.
- Collaborate with various teams to ensure smooth event execution and maintain compliance with event contracts and artist requirements.
- Assist with internal event reviews and audits by helping prepare documentation and responding to any queries.
- Work with cross-functional teams, including programming, operations, and artist liaison teams, to ensure coordination across all event activities.
WHAT YOU BRING
- Experience in event programming, administrative support, or a related field, ideally within the music, events, or entertainment industry is desirable.
- Basic understanding of contract management and familiarity with legal terminology.
- Some knowledge of event operations, including artist management and live events, and an eagerness to learn the logistics involved in large-scale productions and performances.
- Familiarity with the Australian and international music/events landscape, with an interest in learning more about the unique administrative and logistical needs of the industry.
- Proficiency in Microsoft Office (Excel, Word) and experience with project management platforms (e.g., Asana, Monday.com); experience with contract management systems is a plus.
- Strong attention to detail, good organisational skills, and a willingness to approach event coordination and problem-solving with a proactive mindset.

- Passion for music, live events, and the creative industries, with flexibility to assist during non-standard hours when required to support event activities.
